This Privacy Policy explains how Labour Law System collects, uses, stores and protects information when you use our website, software, admin panel or client portal. Last updated: July 2026.

1. Who we are

2. Information we collect

2.1 Website & inquiry data

When you submit a demo, pricing, inquiry or support request, we may collect name, work email, phone, company name, city, inquiry type and message content.

2.2 Account & product data

Depending on your plan (Basic Application and/or Client Access), the Software may process:

  • Company master and configuration data
  • Employee master and attendance-related data
  • Payroll, remittance and compliance report data
  • Admin and client-user account details and permissions
  • Support communications and usage logs needed for security and service quality

2.3 Technical data

We may collect IP address, browser type, device information and basic usage logs when you access the website or hosted application, for security and troubleshooting.

3. How we use information

We use information to:

  • Provide and maintain the Software within your plan limits (companies, employees and users)
  • Enable admin panel and client portal features you subscribe to
  • Respond to demo, support and sales requests
  • Apply maintenance, hosting and access controls where applicable
  • Improve product reliability, prevent abuse and secure accounts
  • Comply with legal obligations

We do not sell personal information.

4. Client access & shared responsibility

Where Client Access is enabled, your organisation (admin) controls which company users can access the portal and which features they may use. You are responsible for ensuring employee and company data is uploaded lawfully and that only authorised persons receive credentials.

Labour Law System processes such data as a service provider / processor for your operational use of the Software, except where we act as an independent controller for website inquiries and our own business records.

5. Hosting & server environments

Depending on plan terms, server / hosting may be applicable for your subscription. Data may be stored on infrastructure used to deliver the Software. We take reasonable administrative and technical measures to protect hosted environments. Exact hosting arrangements may be confirmed in your order or support communication.

6. Sharing of information

We may share information only when needed with:

  • Authorised support and operations staff
  • Infrastructure or email delivery providers acting on our instructions
  • Professional advisers or authorities where required by law

We do not share customer payroll or employee data publicly.

7. Data retention

Inquiry records are retained as needed to respond and for legitimate business records. Product data is retained while your subscription remains active and for a reasonable period after termination to allow export or closure, unless a longer period is required by law or dispute resolution.

8. Security

We use reasonable safeguards such as access controls, role-based permissions and secure transmission where applicable. No method of transmission or storage is completely secure; please protect login credentials and report suspected unauthorised access promptly.

9. Your choices & rights

Subject to applicable Indian law, you may request access, correction or deletion of personal information we hold about you as a website visitor or account contact, by emailing us. Some requests may be limited where we must retain records for legal, security or contractual reasons.

For employee data stored in your tenant, please contact your organisation’s admin first, as they control day-to-day product data.

10. Cookies & website tools

Our website may use essential cookies or third-party tools (for example chat support) to operate the site and assist visitors. You can control cookies through your browser settings where available.

11. Children’s privacy

The Software and website are intended for business users. We do not knowingly collect personal information from children for marketing purposes.

12. Changes to this policy

We may update this Privacy Policy from time to time. The revised version will be posted on this page with an updated date. Continued use of the website or Software after changes indicates acceptance of the updated policy, subject to applicable law.

Use of the Software is also governed by our Terms & Conditions, including plan limits, maintenance, server applicability and client-access rules.
